When a new litigation, investigation, or regulatory matter is created in OpenText Extended ECM Platform, the system can automatically trigger a legal hold case in OpenText Legal Hold. Matter metadata such as case number, jurisdiction, involved business unit, and retention scope is passed to Legal Hold to define the preservation requirements.
OpenText Extended ECM Platform can maintain authoritative business records for employees, contractors, or project participants. When a custodian is identified as relevant to a matter, their profile and associated content sources can be sent to OpenText Legal Hold to create or update custodian hold assignments.
When OpenText Legal Hold places a custodian or content source on hold, the hold status can be returned to OpenText Extended ECM Platform so the platform can prevent deletion, overwrite, or disposition of affected documents and records. This is especially useful for contracts, correspondence, project files, and regulated records managed in ECM repositories.
OpenText Extended ECM Platform can orchestrate workflow tasks for legal hold notices, reminders, and acknowledgments. OpenText Legal Hold provides the hold event and custodian list, while Extended ECM handles routing, task assignment, escalation, and document capture for acknowledgment evidence.
When users attempt to delete, archive, or dispose of content in OpenText Extended ECM Platform, the system can check OpenText Legal Hold for active holds before allowing the action. If a hold exists, the request can be blocked or routed to legal review with a clear explanation and audit trail.
When a legal matter is closed in OpenText Legal Hold, the release status can be sent back to OpenText Extended ECM Platform so affected content and records can resume normal retention schedules. The platform can then re-enable disposition workflows based on records policy and business rules.
OpenText Extended ECM Platform can aggregate hold-related metadata from OpenText Legal Hold to provide enterprise reporting on active holds, custodian coverage, acknowledgment status, affected repositories, and release dates. This supports audits, regulatory reviews, and internal governance reporting.
Together, OpenText Extended ECM Platform and OpenText Legal Hold create a controlled environment where business content can be managed efficiently while legal preservation requirements are enforced consistently and auditable across the enterprise.
