OpenText Extended ECM - Records Management is designed to formalize records declaration, retention, and disposition within enterprise content and business workflows. NetX is commonly used as a digital asset management platform for organizing, searching, sharing, and distributing rich media and brand assets. Together, they can support controlled asset governance, compliance, and efficient collaboration across business and creative teams.
When a final version of a marketing asset such as a campaign image, brochure, or video is approved in NetX, the asset and its metadata can be sent to OpenText Extended ECM for formal records declaration. This creates a compliant archive of the approved version, along with approval history and retention rules.
Organizations in healthcare, financial services, and government often need to retain certain media assets for a defined period. NetX can store and manage the working asset, while OpenText Extended ECM applies retention schedules, legal holds, and disposition actions once the asset is declared a record.
Creative teams often need to prove what was approved, when it was approved, and by whom. NetX can manage the creative workflow and final deliverables, while OpenText Extended ECM stores the final asset together with approval metadata, version history, and associated sign-off documentation as a single record package.
NetX asset metadata such as campaign name, asset type, usage rights, expiration date, and owner can be synchronized with OpenText Extended ECM to support classification and retention decisions. In return, records status, retention category, and disposition date can be exposed back to NetX for visibility.
For organizations using licensed photography, stock video, or third-party creative content, NetX can manage usage rights and distribution controls while OpenText Extended ECM enforces retention based on contract terms or legal requirements. When a license expires, the record can be flagged for review, restricted, or disposed of according to policy.
If a campaign, image set, or video series becomes relevant to litigation or an internal investigation, NetX can identify the affected assets and send them to OpenText Extended ECM for legal hold. This prevents deletion or disposition until the hold is released.
Teams often need to retrieve older approved assets for audit, reference, or controlled reuse. OpenText Extended ECM can serve as the compliant archive, while NetX provides a user-friendly interface for searching and previewing approved assets. This allows business users to find archived content without bypassing governance controls.
Once a record reaches the end of its retention period, OpenText Extended ECM can trigger disposition approval and notify NetX to remove the asset from active collections, portals, or distribution channels. This ensures outdated or noncompliant content is no longer available for reuse.
