OpenText TeamSite Authoring Services and OpenText Legal Hold serve very different but complementary business functions. TeamSite supports controlled web content creation, review, and publishing, while Legal Hold ensures potentially relevant content is preserved for litigation, investigations, and regulatory matters. Integrating them helps marketing, legal, compliance, and IT teams reduce risk while maintaining efficient content operations.
When a legal matter is opened in OpenText Legal Hold, the system can identify specific websites, pages, campaign assets, or content repositories managed in OpenText TeamSite Authoring Services and place them under hold. This prevents deletion or alteration of content that may be relevant to litigation or regulatory review.
Legal Hold can use TeamSite user and workflow data to identify custodians involved in creating, reviewing, or approving specific content. This allows legal teams to preserve not only the final published page but also the people and workflow records associated with its creation.
TeamSite workflows can be integrated with Legal Hold status so that content under hold cannot be deleted, retired, or replaced without legal review. If a page or asset is subject to a hold, the publishing workflow can route changes to an exception process or block final disposition.
TeamSite version history, approval records, and publication timestamps can be synchronized to Legal Hold so legal teams can preserve the full lifecycle of a page or asset. This is especially useful when disputes involve what was published, when it changed, and who approved it.
When Legal Hold opens a matter, it can query TeamSite metadata to identify all related pages, microsites, campaign landing pages, and associated assets tied to a product, region, or business unit. This helps legal teams quickly scope preservation obligations across digital properties.
Once a legal matter is closed, OpenText Legal Hold can notify TeamSite that specific content is no longer subject to preservation. TeamSite can then resume normal lifecycle actions such as archival, retirement, or deletion according to content governance rules.
TeamSite can provide content inventory, workflow, and publication data to Legal Hold for reporting on what content is preserved, who owns it, and whether any changes were attempted during the hold period. This supports audits and internal compliance reviews.
In some cases, business-critical updates to a held page may be required, such as regulatory disclosures or emergency communications. An integrated process can route these requests from TeamSite to Legal Hold for review and approval before publication, ensuring the organization remains compliant while meeting operational needs.
